We are normally open Monday - Wednesday, from 9:00 am to 4:00 pm.
After hours, we recommend going to urgent care or the emergency room for any urgent needs that arise. If not urgent, please leave a message so we can address your needs the following business day. In the event of a life-threatening emergency, call 911 or go to the nearest emergency room. When emergencies occur after-hours, it is recommended you go to either Providence Medford Medical Center Emergency Room, or Asante Ashland Medical Center Emergency Room.
Our phones turn on at 9am, and we ask that patients try to call between 9:00 am and 3:00 pm, and please leave us a detailed message so we can efficiently address concerns or questions. Calls are returned as promptly as possible, but as a small clinic with limited staff, you may not hear back until after patient hours. We do our best to address calls in both order of medical urgency and time the call was placed.
If we are unable to answer the phone during normal business hours, please leave a detailed message so we can get back to you. It is very helpful when leaving a message to be as specific as possible so we can better respond to your needs. Patients normally can expect a return call the same day unless the call is made after 3:00 pm. Calls made after this time will be addressed as soon as possible, by at least by the next business day.
Prescription Refills:
Prescription refills should always be requested through your pharmacy.
We can handle calls with questions during regular office hours, but all refills, even those for expired prescriptions, need to be requested from the patient's pharmacy directly.

We refill medications Monday through Wednesday. Please review prescription needs and request refills in a timely manner to keep from running out of medication. We ask for 48 hours turn around time during business hours to process requests.
Labs:
The majority of our lab services are handled by outside labs that bill directly. We have no control over the lab prices or insurance coverage. We use LabCorp, Vista Pathology, and AIT HealthTrack as first line labs.
You may request that we use a different lab, and we encourage each patient to know what lab is preferred, covered, or out of network with their specific insurance plan.

When we receive all your results we notify our patients through the Charm Patient Portal. Please ensure you have signed up for your portal so you can access the results, as this is essential in our small practice. Automated emails/texts will notify you of new messages and results.
If you do not see a lab result within 2 weeks of having a lab done, please call our office to check in on this.
Medical Records:
Medical records are strictly confidential. Permission is required prior to release of information about patient care. We must have a signed release in order to release records and ask for a 72 hour turn around time to copy and release records. We will provide a patient with a copy of their records when requested as a courtesy. Additional copies will be charged a $25 copying fee.
We know your time is valuable and we try to schedule patients with this in mind. We focus on optimizing the provider’s availability, while reducing appointment delays and wait times. With that being said, late cancellations and no shows cause significant disruption to the schedule. There are often patients who are needing to be seen, but have to schedule out due to a full schedule. By not providing at least a 48 hour notice of need to cancel/reschedule, we cannot work to get other patients in sooner. Please be courteous and help us prevent this issue by giving at least a 48 hour notice if you cannot attend your scheduled appointment. If you fail to do so, you will be charged a $50 fee, and after two "no show" appointments or late cancellations, you may be discharged from the clinic. Each case will be reviewed individually prior to any patients being discharged.
